Everything you need to use the SESTWA Member Portal
Suna East Secondary Teachers Welfare Association – register, stay informed, contribute by M-Pesa or Equity, and see every shilling accounted for. This guide covers every page, button and message in the portal.
The screens below are illustrations drawn from the portal's actual pages, labels and buttons. Names, numbers and amounts are sample data. Your live screen may differ slightly in colour and spacing.
No help topics match your search. Try a shorter word, or contact the executive.
What is the SESTWA portal? Everyone
A member-funded welfare system for teachers of Suna East Sub-County.
SESTWA exists so that when a colleague faces bereavement, a medical emergency or another approved hardship, members can respond together – quickly, fairly and transparently. The portal replaces cash collection and paper lists. The Secretary posts an announcement (an appeal with a fixed amount per member), every active member is notified, and each member pays that amount by M-Pesa or Equity Mobile. The portal records each payment automatically and shows who has paid.
The journey in four steps

Use the form to reach the executive. All fields marked * are required.

|---|---|
| Full name *, Email address * | The email must be valid so the executive can reply. |
| Phone (optional) | Add it if you prefer a call. |
| Subject * | Membership enquiry · Contribution / M-Pesa help · Welfare support request · Question about an announcement · Leadership / governance · Technical issue on the site · Other |
| Message * | Describe your question. For urgent welfare matters, phone the Secretary directly instead. |

After you press Send message, a green confirmation appears. Messages are kept in the system for the executive and are normally answered within one working day.
Think the problem is a payment? Include your M-Pesa confirmation SMS (or the receipt number) in the message. It lets the Secretary match your payment quickly.
Registering for an account Visitors
Free, takes about a minute, and happens in two short steps.
Open Join Now from the menu (or Become a member on the home page). Keep your TSC number, National ID and the phone number registered for M-Pesa at hand.
Step 2 of 2 – the second screen
Join 120 teachers already on board. It takes about a minute.
- TSC number – e.g.
TSC/123456. Typing just the digits works too. The portal checks instantly whether it is already registered. - Current school – choose your school from the drop-down list. If yours is missing, contact the Secretary to have it added.
- M-Pesa phone – a Kenyan number starting 07 or 01. This is where payment prompts will be sent.
- Password – at least 8 characters. The four-bar strength meter shows how strong it is; the eye icon shows or hides what you typed.
- Submit registration – only works after you tick the agreement. The ↠button goes back to step 1.
Every field and its rules

| 2 | Agreement | Tick to accept the Constitution. | "You must agree to the Constitution to register." |
What happens after you submit
"You may already have an account." If registration says your ID, TSC number or phone is already registered, do not create a second account. Try signing in. If you cannot, ask the Secretary to help. Registering with someone else's details is not possible.
If you see "Too many attempts. Please try again in a few minutes.", the portal is protecting itself from automated sign-ups. Wait a few minutes and try again. If you gave an email address, a welcome email arrives within a few minutes (check your spam folder). You can add or change your email later under My Profile.

Messages on the sign-in page
| Message | What it means and what to do |
|---|---|
| "No account found with those details. Check your TSC number, phone or email." | Nothing matches what you typed. Check for typos, or try another identifier. If you never registered, register. |
| "Incorrect password. Please try again." | The account exists but the password is wrong. Use Forgot password? if needed. |
| "Your account is waiting for activation by the Secretary…" | Status is Pending. Wait for approval. |
| "Your registration was not approved. Please contact the Secretary." | Status is Rejected. |
| "Your account has been deactivated. Please contact the Secretary." | Status is Inactive. |
| "Your session expired. Please sign in again." | You were idle too long (the default limit is 60 minutes) or the browser closed your session. Sign in again. |
| "You do not have permission to open that page." | You tried to open a Secretary/Admin page without that role. |
| "We could not sign you in right now. Please try again in a moment." | A temporary system problem. Try again shortly; if it persists, tell the Secretary. |
Remember me and signing out
Remember me saves your sign-in ID in a 30-day cookie on that device. It does not keep you signed in, so you still need your password each time. Do not tick it on a shared or public computer. Always use Logout (in the top bar or sidebar) when you finish – it ends your session and clears the cookie, then shows "Your session has been securely closed."
Payments need a live session. The portal checks your payment status while you wait for the M-Pesa prompt. If you are idle for a long time and your session ends, sign in again and open My Payments to see the outcome.
Finding your way around Members
Every member page shares the same layout.
- Top bar – the SESTWA logo, a greeting (Karibu, your name), a Pay shortcut, Logout, and a menu button on phones.
- Left sidebar – your initials or photo, name, TSC number and a status badge (green Active or amber Pending), then the menu groups below.
- Breadcrumb – shows where you are, e.g. Dashboard › My Profile.
- Footer – quick links to About, Constitution, Leadership and Announcements, plus contact details.
| Menu group | Pages |
|---|---|
| Main | Dashboard · My Profile · My Dependants |
| Welfare | Announcements · My Payments · Pay via M-Pesa |
| Info | Constitution · Leadership |
| Account | Change Password · Logout |
On a phone the sidebar is hidden. Tap the button at top-left to open it and tap the dark area (or ×) to close it.
Account pending? If your status is still Pending you cannot sign in at all, so you will not normally see these pages until you are activated. If you do see the amber banner "Account pending activation", your registration is still under review.

My Dependants Members
Family members covered under the SESTWA welfare programme.
Declaring dependants lets SESTWA provide welfare support when they experience loss or hardship. Only declared and verified dependants are eligible, so declare early, before you need the support.

Transparency means other members can see your payment status (and your name, TSC, school and phone) in the accountability table. That is by design, to keep contributions fair, but do not share the screen publicly.

| Reset password | Type a new password to replace theirs; leave blank to keep the current one. Use this when a member is locked out, then tell them to change it after signing in. |
What each action does
| Action | Effect | Reversible? |
|---|---|---|
| Activate | Sets status to Active so the member can sign in, see announcements and pay. Records who activated and when. The member is queued an activation notification. | Yes (Deactivate) |
| Deactivate | Sets status to Inactive. They can no longer sign in. Their history is kept. | Yes (Activate) |
| Reject | Declines a registration (status Rejected). | Yes, by editing status or activating. |
| Delete | Permanently removes the member and all their data (dependants, payments, notifications). | No. Use Deactivate instead unless it's a duplicate or test record. |
Delete is permanent. Deleting a member also removes their payment records, which changes the totals on every announcement they paid. Prefer Deactivate for members who have left.
Choose roles carefully. Anyone given the Secretary or Admin role can see and change every member's record and every payment. Only grant it to elected officials, and demote them (set role back to Member) when their term ends.
Managing announcements Secretary & Admin
Post welfare appeals and control who can contribute.
The page opens with four counters (Total announcements, Visible & open, Drafts / hidden, Closed), a search box over title, description and beneficiary, filter buttons All, Open, Closed, Drafts, Expired, and a card for each announcement showing its amount, paid / total, KES collected, deadline and a progress bar. Press New announcement to open the form below.
Post, edit and manage the welfare appeals members contribute to.

- Type and affected member. Types: Bereavement, Medical emergency, General welfare, Education support, Other. The affected member is optional and names the beneficiary.
- Title and description. The title is required; the description is optional context for members.
- Amount and deadline. The amount is required, must be a valid number, and is the same for every member. The deadline is optional; after it passes the appeal shows as Expired in your filters.
- Visibility. Visible to members immediately publishes it. Save as draft (hidden) keeps it private until you are ready.
- Save announcement. You will see a confirmation, and members see the appeal straight away if it is visible.
Actions on an existing announcement
| Button | Effect |
|---|---|
| Edit | Re-opens the form with the saved values. |
| Show / Hide | Toggles visibility. Members no longer see a hidden announcement ("Visibility toggled."). |
| Close | Stops contributions but keeps the record visible ("Announcement closed."). Members see Appeal closed. |
| Reopen | Allows contributions again ("Announcement reopened."). |
| Delete | Permanently deletes the announcement and all its payment records. Cannot be undone. |
| Export CSV | Downloads the announcement list. |
Edit the amount with care. If members have already paid, changing the amount does not alter their earlier payments. Rather than editing an active appeal, consider closing it and posting a new one.
Use Close, not Delete, when an appeal ends. Closing preserves the contribution record for audits and for the accountability report.

- Filters. Tabs for All / Confirmed / Pending / Failed / Manual, a search box, an announcement drop-down and a From–To date range with Apply and Clear. A ribbon shows the totals for what you are viewing.
- Row actions – see the table below.
- Manual payment form. Member, announcement, amount and date are required; M-Pesa reference, phone and notes are optional.
| Action | When to use it | Result |
|---|---|---|
| View | Any time. | Side panel with member, TSC, school, phone, payment ID, type, announcement, M-Pesa ref, checkout ID, timeline (initiated, paid, confirmed), who approved it, and any failure reason or notes. |
| Confirm | A Pending payment where you have independent proof (M-Pesa statement). | Marks it Confirmed: "Payment confirmed successfully." |
| Cancel | A Pending payment that is stuck or abandoned. | Marks it Cancelled: "Payment marked as Cancelled." |
| Delete | Failed, cancelled or test records you want removed. | Permanently deletes. "Confirmed M-Pesa payments cannot be deleted. Cancel first if needed." |
Recording a manual payment
Use it for cash collected by a school representative, or an M-Pesa transaction that the STK push never captured (for example the member paid by paybill, or the callback failed).
- Press Record manual payment.
- Choose the Member and the Announcement, enter the Amount and the Payment date.
- For an M-Pesa payment, type the member's M-Pesa reference exactly as it appears on their SMS. For cash, leave it blank and a reference is generated.
- Add the phone (otherwise the member's own number is used) and notes such as "Cash via school rep", then press Save payment.
You will see "Manual payment recorded and confirmed successfully." The payment is marked Confirmed and tagged Manual. If that member already has a confirmed payment for the announcement, you will see "This member already has a confirmed payment for this announcement." and nothing is saved, which prevents double counting.
Always verify before confirming. A manual or "Confirm" action counts towards the collected total immediately. Check the money has really reached the paybill/till before you confirm, and write a note so another officer can audit it later.

Leadership and Constitution Secretary & Admin
Keep the public website's governance pages up to date.
Leadership team
Whatever you save here appears on the public Leadership page and in the home page preview.
Manage the SESTWA executive committee members shown on the public site.
Elected: Jan 2026 · Until: Jan 2029 · Order: 1Edit Hide Delete
- Name and role. Roles available: Chairperson, Vice Chairperson, Secretary, Assistant Secretary, Treasurer, Committee Member, Patron.
- Link to member account. Optional. If you link a leader to a member, their profile photo is used on the Leadership page when you have not supplied a separate photo.
- Display order. Lower numbers appear first (the default is 99). Use 1 for the Chairperson, 2 for the Vice Chairperson, and so on.
- Edit / Hide / Delete. Hide removes someone from the public page without losing the record. Delete asks "Remove this leader from the team?"
Appointing someone as a leader here does not give them Secretary or Admin access. For that, change their Role under Members → Edit.
Constitution & By-Laws
Each version of the constitution is stored separately, so members can always read the current text and look back at earlier ones.
Manage the documents displayed to members and the public.
- Formatting toolbar. Bold, italic, underline, bullet and numbered lists, headings (H2 for articles, H3 for sections), paragraph, and a Preview. Headings build the clickable contents list on the public page.
- Title and version. Both required. Publish status: Published (visible to members and the public) or Draft (hidden).
- Mark as Latest? Yes replaces the current latest version. No keeps it as an archive copy.
- PDF attachment. Optional. Drag and drop or browse. It powers the Download PDF button on the public page.
In the list below the form, each version shows its number, a LATEST tag, Published/Draft, and PDF attached. Buttons: Edit, Publish (draft → published), Set Latest and Delete (permanent). Admins and Secretaries who open the public Constitution page are taken straight to this editor.
Amending the constitution: never overwrite the old text. Create a New Version (e.g. 2.1), paste the amended text, tick Yes – Replace Current Latest and save. The old version remains available under Previous Versions.
Settings Admin only
System-wide configuration, organised into seven tabs.
Only users with the Admin role can open Settings. Press Save changes at the bottom after editing; the footer shows "No unsaved changes" or "Last saved: …".
- Seven tabs. Click a tab to switch sections.
- Fields with a short description under each label.
- Save changes. Saves every tab at once.
| Tab | Settings |
|---|---|
| General | Association name, Sub-county, Contact email, Contact phone, Physical address. |
| M-Pesa | Paybill / till number, Default contribution (KES; pre-fills new announcements), Environment (Sandbox (testing) or Production (live)), STK Push callback URL (must be a public HTTPS address). Values saved here override Web.config. |
| Members | Max dependants per member (default 10), Session timeout (minutes), Allow self-registration, Require TSC verification. |
| Contact | Location, General email, Secretary phone, Treasurer phone, Map embed URL (paste the src from Google Maps → Share → Embed a map; must start with https://; leave blank to hide the map). These feed the public Contact page and footer. |
| Notifications | SMS notifications, Email notifications, Account activation notice, Payment receipts, Africa's Talking API key (leave blank to keep the current one), SMS sender ID (up to 11 characters, no spaces). |
| Security | Force HTTPS, Full audit logging, Minimum password length. |
| Maintenance | Maintenance mode (blocks member access and shows a maintenance page) and the Danger zone. |
Which settings take effect today? The association name, contact details and map, the M-Pesa paybill/till number and callback URL, and the maximum number of dependants are used by the portal as soon as you save. The other switches (self-registration, TSC verification, notification toggles and SMS key, session timeout, HTTPS, audit logging, minimum password length, maintenance mode and the M-Pesa environment) are saved but this version of the portal does not yet act on them. Today, sessions end after 60 minutes of inactivity, passwords need at least 8 characters, and the M-Pesa environment follows the server configuration. Ask your developer before relying on one of these switches.
Danger zone
| Button | What it does |
|---|---|
| Delete pending and failed payments | Permanently removes every payment that is still Pending, Failed or Cancelled. Confirmed payments are untouched. Do this only after reconciling against your M-Pesa statement. |
| Purge audit log | Permanently erases the record of admin actions. |
Danger-zone actions cannot be undone. Export the payments list to CSV first, and keep the audit log unless your committee has agreed to clear it.
How payments work behind the scenes Secretary & Admin
Understanding the life of a payment helps you reconcile with confidence.
| Payment status | Meaning |
|---|---|
| Pending | Prompt sent; no result yet. If it stays Pending, the member may never have answered the prompt or the callback was missed. |
| Confirmed | Money received and recorded. Counts towards collected totals. |
| Failed | The provider reported an error (wrong PIN, insufficient funds, cancelled, timed out). No money moved. |
| Cancelled | Cancelled by an officer from the Payments page. |
Built-in protections. One confirmed payment per member per announcement; a second tap within two minutes reuses the same pending request; payment amounts are set by the Secretary on the announcement, not by the member; and the same callback received twice is only recorded once.
Reconciling a "paid but not recorded" complaint
- Ask the member for the M-Pesa or Equity confirmation SMS (receipt code, amount, time).
- Open Payments, search the member's name or the phone number. Check whether a Pending or Failed row exists.
- Compare to your M-Pesa statement (portal or paybill report). If the receipt code and amount match there:
- Pending row exists → Confirm it.
- No row, or only a Failed one → Record manual payment with the exact receipt code and the original payment date.
- Add a short note ("Callback missed; verified on statement") so the action can be audited later.
- If the money is not on your statement, the payment did not reach SESTWA. Ask the member to try again.
Protect the secrets. M-Pesa consumer keys and passkey, Equity credentials, database password and SMS API key live in the server's configuration. They must never be emailed, pasted into chats or put in the Settings page notes. Rotate them if they have been shared.
Troubleshooting Everyone
Find your symptom, try the fix.
| Problem | Likely cause | What to do |
|---|---|---|
| I registered but cannot sign in | Your status is still Pending. | Wait for the Secretary to activate you. Contact them if it takes more than a working day. |
| "No account found" | Typo, or you used an identifier you did not register with. | Try your TSC number (with or without TSC/), then your phone, then email. |
| "Incorrect password" | Wrong password or caps lock. | Use the eye icon to check what you typed, or use Forgot password? / ask the Secretary to reset it. |
| Registration says my TSC / ID / phone exists | You (or someone) registered already. | Try signing in. If you cannot, contact the Secretary rather than creating another account. |
| I was signed out unexpectedly | Session ended after about 60 minutes of inactivity. | Sign in again. |
| No M-Pesa prompt arrived | Wrong method/network/number, no signal, locked line. | Check the three choices, your signal, and tap Try again. |
| Payment says Failed | Cancelled prompt, wrong PIN, low balance, or timeout. | Read the reason shown. No money was taken. Try again. |
| I paid but it shows Waiting / not recorded | Delayed or missed confirmation from the provider. | Wait a few minutes, check My Payments, then send the receipt SMS code to the Secretary. Do not pay twice. |
| "You have already contributed…" | You have a confirmed payment for that appeal. | Nothing to do. Check My Payments for your receipt. |
| I cannot add another dependant | You hit the limit, or a spouse already exists. | Remove one first, or ask the Secretary about the limit. |
| Profile photo will not upload | File too big or the wrong type. | Use PNG, JPG or WebP under 2 MB. |
| My TSC number or National ID is wrong | These fields are locked. | Ask the Secretary to correct them. |
| (Secretary) Settings sends me to the sign-in page | Settings is Admin-only. | Ask an Admin to make the change. |
| Page looks broken or old | Cached files. | Hard refresh (Ctrl+F5), or clear the browser cache. |
Still stuck? Use the Contact page and choose Technical issue on the site or Contribution / M-Pesa help. Say what you were doing, what you saw, and (for payments) the receipt code.
