Everything you need to use the SESTWA Member Portal

Suna East Secondary Teachers Welfare Association – register, stay informed, contribute by M-Pesa or Equity, and see every shilling accounted for. This guide covers every page, button and message in the portal.

The screens below are illustrations drawn from the portal's actual pages, labels and buttons. Names, numbers and amounts are sample data. Your live screen may differ slightly in colour and spacing.

No help topics match your search. Try a shorter word, or contact the executive.

What is the SESTWA portal? Everyone

A member-funded welfare system for teachers of Suna East Sub-County.

SESTWA exists so that when a colleague faces bereavement, a medical emergency or another approved hardship, members can respond together – quickly, fairly and transparently. The portal replaces cash collection and paper lists. The Secretary posts an announcement (an appeal with a fixed amount per member), every active member is notified, and each member pays that amount by M-Pesa or Equity Mobile. The portal records each payment automatically and shows who has paid.

The journey in four steps

RegisterCreate an account with your TSC number, National ID and M-Pesa phone.
Get verifiedThe Secretary reviews your application and activates your account.
Stay informedActive appeals appear on your dashboard and Announcements page.
ContributeApprove an STK push on your phone. Your payment is recorded instantly.

What the portal can do

Verified membership

Every member is checked by TSC number and National ID, and approved by the Secretary before taking part.

Family cover

Declare your spouse, children, parents and others so they are on record for welfare support.

Pay from your phone

M-Pesa (Safaricom) and Equity Mobile (Safaricom, Airtel or Equitel numbers) with a push prompt – no paybill typing.

Live accountability

See who has paid for each appeal and how much has been collected.

Governance

Read the constitution (with version history) and meet the elected executive.

Any device

The portal adapts to phones, tablets and computers.

Roles and account status Everyone

What you can see and do depends on your role. Whether you can sign in depends on your account status.

  2. Call-to-action buttons. Become a member opens registration. See appeals goes to Announcements (you must sign in to view it).
  3. Live appeal card. Shows the latest appeal: how many members have paid, total members, the amount each member pays, and a progress ring. If there are no appeals yet it shows an invitation to join instead.
  4. At-a-glance figures. Active members, schools covered, welfare appeals and total KES contributed. They count up as you scroll.
  5. Latest welfare announcements. Each card shows the type, status (Open or Closed), amount, date, deadline, progress bar and a Contribute now button. The button takes you to sign-in. A closed appeal shows a disabled Appeal closed button.

Further down you will find How it works (the four steps), Meet our executives (a preview of the leadership team), a Not a member yet? banner, and a footer with quick links, contact details and social links.

Remember me and signing out

Remember me saves your sign-in ID in a 30-day cookie on that device. It does not keep you signed in, so you still need your password each time. Do not tick it on a shared or public computer. Always use Logout (in the top bar or sidebar) when you finish – it ends your session and clears the cookie, then shows "Your session has been securely closed."

Payments need a live session. The portal checks your payment status while you wait for the M-Pesa prompt. If you are idle for a long time and your session ends, sign in again and open My Payments to see the outcome.

Finding your way around Members

Every member page shares the same layout.

  • Top bar – the SESTWA logo, a greeting (Karibu, your name), a Pay shortcut, Logout, and a menu button on phones.
  • Left sidebar – your initials or photo, name, TSC number and a status badge (green Active or amber Pending), then the menu groups below.
  • Breadcrumb – shows where you are, e.g. Dashboard › My Profile.
  • Footer – quick links to About, Constitution, Leadership and Announcements, plus contact details.

On a phone the sidebar is hidden. Tap the button at top-left to open it and tap the dark area (or ×) to close it.

Account pending? If your status is still Pending you cannot sign in at all, so you will not normally see these pages until you are activated. If you do see the amber banner "Account pending activation", your registration is still under review.

ActivateSets status to Active so the member can sign in, see announcements and pay. Records who activated and when. The member is queued an activation notification.Yes (Deactivate)
DeactivateSets status to Inactive. They can no longer sign in. Their history is kept.Yes (Activate)
RejectDeclines a registration (status Rejected).Yes, by editing status or activating.
DeletePermanently removes the member and all their data (dependants, payments, notifications).No. Use Deactivate instead unless it's a duplicate or test record.

Delete is permanent. Deleting a member also removes their payment records, which changes the totals on every announcement they paid. Prefer Deactivate for members who have left.

Choose roles carefully. Anyone given the Secretary or Admin role can see and change every member's record and every payment. Only grant it to elected officials, and demote them (set role back to Member) when their term ends.

  2. Title and description. The title is required; the description is optional context for members.
  3. Amount and deadline. The amount is required, must be a valid number, and is the same for every member. The deadline is optional; after it passes the appeal shows as Expired in your filters.
  4. Visibility. Visible to members immediately publishes it. Save as draft (hidden) keeps it private until you are ready.
  5. Save announcement. You will see a confirmation, and members see the appeal straight away if it is visible.

Actions on an existing announcement

EditRe-opens the form with the saved values.
Show / HideToggles visibility. Members no longer see a hidden announcement ("Visibility toggled.").
CloseStops contributions but keeps the record visible ("Announcement closed."). Members see Appeal closed.
ReopenAllows contributions again ("Announcement reopened.").
DeletePermanently deletes the announcement and all its payment records. Cannot be undone.
Export CSVDownloads the announcement list.

Edit the amount with care. If members have already paid, changing the amount does not alter their earlier payments. Rather than editing an active appeal, consider closing it and posting a new one.

Use Close, not Delete, when an appeal ends. Closing preserves the contribution record for audits and for the accountability report.

Recording a manual payment

Use it for cash collected by a school representative, or an M-Pesa transaction that the STK push never captured (for example the member paid by paybill, or the callback failed).

  1. Press Record manual payment.
  2. Choose the Member and the Announcement, enter the Amount and the Payment date.
  3. For an M-Pesa payment, type the member's M-Pesa reference exactly as it appears on their SMS. For cash, leave it blank and a reference is generated.
  4. Add the phone (otherwise the member's own number is used) and notes such as "Cash via school rep", then press Save payment.

You will see "Manual payment recorded and confirmed successfully." The payment is marked Confirmed and tagged Manual. If that member already has a confirmed payment for the announcement, you will see "This member already has a confirmed payment for this announcement." and nothing is saved, which prevents double counting.

Always verify before confirming. A manual or "Confirm" action counts towards the collected total immediately. Check the money has really reached the paybill/till before you confirm, and write a note so another officer can audit it later.

Which settings take effect today? The association name, contact details and map, the M-Pesa paybill/till number and callback URL, and the maximum number of dependants are used by the portal as soon as you save. The other switches (self-registration, TSC verification, notification toggles and SMS key, session timeout, HTTPS, audit logging, minimum password length, maintenance mode and the M-Pesa environment) are saved but this version of the portal does not yet act on them. Today, sessions end after 60 minutes of inactivity, passwords need at least 8 characters, and the M-Pesa environment follows the server configuration. Ask your developer before relying on one of these switches.

Danger zone

ButtonWhat it does
Delete pending and failed paymentsPermanently removes every payment that is still Pending, Failed or Cancelled. Confirmed payments are untouched. Do this only after reconciling against your M-Pesa statement.
Purge audit logPermanently erases the record of admin actions.

Danger-zone actions cannot be undone. Export the payments list to CSV first, and keep the audit log unless your committee has agreed to clear it.

How payments work behind the scenes Secretary & Admin

Understanding the life of a payment helps you reconcile with confidence.

Member presses SendThe portal creates a Pending payment and asks M-Pesa (Daraja) or Equity (Jenga) to send an STK prompt.
Member enters PINThe provider debits the member and prepares a result.
Provider calls backM-Pesa or Equity sends the result to the portal's secure callback address.
Portal records itOn success the payment becomes Confirmed with the receipt number; on failure Failed with the reason.
Member sees resultThe waiting screen checks every 5 seconds for up to 2 minutes.
Payment statusMeaning
PendingPrompt sent; no result yet. If it stays Pending, the member may never have answered the prompt or the callback was missed.
ConfirmedMoney received and recorded. Counts towards collected totals.
FailedThe provider reported an error (wrong PIN, insufficient funds, cancelled, timed out). No money moved.
CancelledCancelled by an officer from the Payments page.

Built-in protections. One confirmed payment per member per announcement; a second tap within two minutes reuses the same pending request; payment amounts are set by the Secretary on the announcement, not by the member; and the same callback received twice is only recorded once.

Reconciling a "paid but not recorded" complaint

  1. Ask the member for the M-Pesa or Equity confirmation SMS (receipt code, amount, time).
  2. Open Payments, search the member's name or the phone number. Check whether a Pending or Failed row exists.
  3. Compare to your M-Pesa statement (portal or paybill report). If the receipt code and amount match there:
    • Pending row exists → Confirm it.
    • No row, or only a Failed one → Record manual payment with the exact receipt code and the original payment date.
  4. Add a short note ("Callback missed; verified on statement") so the action can be audited later.
  5. If the money is not on your statement, the payment did not reach SESTWA. Ask the member to try again.

Protect the secrets. M-Pesa consumer keys and passkey, Equity credentials, database password and SMS API key live in the server's configuration. They must never be emailed, pasted into chats or put in the Settings page notes. Rotate them if they have been shared.

Frequently asked questions Everyone

Who can join SESTWA?
Teachers in secondary schools of Suna East who hold a TSC number. You register with your TSC number, National ID and phone, and the Secretary approves you.
Does it cost anything to register?
No. You only contribute when an appeal is posted, and the amount is shown on the announcement before you pay.
How much will I pay and how often?
Each appeal has one fixed amount per member. Appeals are posted when a case arises, so there is no fixed monthly bill.
Is it safe to pay through the portal?
Payments are processed by Safaricom M-Pesa or Equity Bank. The portal never sees or stores your PIN; you enter it on your phone prompt. You always get a receipt number.
Can I pay for someone else?
Yes, you may type any M-Pesa number on the Contribute page, but the payment is recorded against your member account. If a colleague has no phone, ask the Secretary to record a manual payment for them.
I paid twice by mistake. What now?
The portal allows only one confirmed payment per appeal, so a second payment should be blocked. If money was taken twice, send both receipt codes to the Secretary and the Treasurer so the extra amount can be handled.
Who can see that I paid?
All signed-in members can see each appeal's payment list (name, TSC, school, status), which is how SESTWA stays accountable. Visitors cannot see it.
Why declare dependants?
Only declared and verified dependants are eligible when SESTWA supports a member after a loss or hardship. Declare them early and keep the list current.
Can I edit a dependant?
Not directly. Remove the entry and add it again with the right details.
I transferred to another school. What should I update?
Edit Current school on My Profile. Your TSC number does not change.
I forgot my password.
Use Forgot password? on the sign-in page. If that does not work, ask the Secretary to set a temporary password for you, then change it under Change Password.
How do I leave SESTWA?
Tell the Secretary, who can deactivate your account. Check the Constitution for membership obligations.
Which phone numbers and networks work?
Kenyan numbers beginning 07 or 01. M-Pesa works with Safaricom lines. Choose Equity (any network) for Safaricom, Airtel or Equitel numbers.
(Secretary) How do I appoint my successor?
Members → Edit the new officer → set Role to Secretary (or Admin) → Save. Set the outgoing officer's role back to Member, and update the Leadership page.
(Secretary) Can I fix an announcement amount after people paid?
Existing payments keep the amount they were made at. It is cleaner to close the appeal and post a new one than to change an active amount.
